Privacy policy
Last updated 15 October 2026
Reef Ledger (aquariumledger.com) is run by Krakking Korals (krakkingkorals.com.au) in Australia. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what the app collects, why, where it is kept, and how to get it deleted.
What we collect
- Account details. If you create an account with email and password we store your email address, the name you give, and a securely hashed password (never the password itself).
- Google sign-in. If you sign in with Google we receive your Google account's name, email address, profile picture link and account ID. We do not get access to your Gmail, contacts or files.
- Tank data. Tanks you create (name, volume, type, start date), test readings, livestock, chores, quarantine progress, notes and settings such as country and units.
- Photos. Tank photos you add, stored as compressed images with your tank data.
- ICP reports. Lab report PDFs you upload and the results read from them.
- Shared tanks. If you share a tank, a share code and which accounts have opened it.
- Usage counts. An anonymous count of app opens per day, tied to a random device ID — not to your name, email or test results.
- Website analytics. We use Vercel Web Analytics, which is cookieless and records aggregate page views (page, referrer, country, browser and device type) without identifying you.
- Technical logs. Our hosting provider keeps short-lived server logs (such as IP address and request time) for security and troubleshooting.
If you use Reef Ledger without an account, your tanks and tests stay in your browser on that device and are not sent to us, except when you use the Ask assistant (below).
The Ask assistant (AI)
When you use Ask, your question, the recent conversation and a summary of the open tank (readings, targets, livestock, chores, notes and any ICP results) are sent to xAI's API for processing so it can answer. xAI is a third-party AI provider based in the United States. Don't put information in Ask that you don't want processed this way. Ask may also search the Krakking Korals online shop for matching products.
How we use it
- To run the app: sign you in, save and sync your tanks across devices, and show advice and calculations.
- To answer Ask questions.
- To understand how much the app is used and improve it.
- To keep the service secure and fix problems.
We do not sell your personal information, and we do not use your tank data for advertising.
Where it is stored
The app is hosted on Vercel and its database runs on Neon (PostgreSQL). These providers, and xAI, may store or process data outside Australia, including in the United States. We use reputable providers and only share what is needed to run the service.
Keeping and deleting your data
We keep your account and tank data until you ask us to delete it. To delete your account and everything stored with it, or to ask for a copy of or correction to your information, email sales@krakkingkorals.com.au from the email address on your account. You can also save a backup file of your data at any time from the app.
Complaints and contact
Questions or privacy complaints: sales@krakkingkorals.com.au. We'll respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
